Our process
From start to finish …
When you contact us, we’ll determine whether Synchronicity’s services are a good fit for the event you have planned, and if we have capacity to add it to our calendar.
After your event is contracted, we’ll assign one of our Event Producers to lead your project! Our team will meet with you regularly, and assist with any or all of the following. Don’t fret if you’ve already covered some of this work yourself, we can jump in at (almost) any point in your process.
First Phase - Strategy & Design: We’ll help you create really good answers to the most important questions about this event. Exactly what will we do, and why, and for whom, and with what values, goals and purpose in mind?
Second Phase - Planning: Researching, recommending, and negotiating with your event vendors, including venue, a/v, catering, entertainers and all the rest. Creating and updating the key tools for your event, including floor plan or site plan, all vendor contracts and agreements, contact lists, packing list, decor plans, event cue sheet or run-of-show, staffing or volunteer plan. We can also assist with elements of marketing, communications, and registration, if you like! (And, if your event happens to raise funds for a nonprofit organization, we’ll advise on those elements as well, woven in with everything else in our planning process.)
Third Phase - Production: The proof is in the pudding, and we love to serve it up! We’ll be onsite at your event from the beginning to the end. Our team will manage all the elements of load in, vendor management, running the event cues and transitions, and strike and load out - creating a joyful and well-produced experience for your event guests and your team.
Fourth Phase - Post-Production: After the event is over, we’ll convene a wrap-up meeting to capture all the notes and improvements for next time, and leave you with a clean set of documents and files.
